Archive & Restore Accounts

Archiving is how you retire an account you no longer use, like a closed bank account or an old credit card, without losing its history. It’s the recommended way to close an account in Moniqo, and it’s fully reversible.

When to Archive an Account

Archive an account once you’ve stopped using it in real life: you’ve closed the bank account, paid off and cancelled the credit card, or simply moved on from tracking it. Archiving keeps all of its past transactions and reports intact, so your historical picture stays accurate; it just stops the account from being used going forward.

Before You Can Archive

Moniqo requires an account’s balance to be exactly zero before it can be archived. This prevents you from accidentally hiding money you haven’t accounted for. Before archiving, make sure to:

  • Transfer any remaining balance to another account.
  • Clear any pending transactions.
  • Reconcile the account against your latest statement, if applicable.

If the balance isn’t zero, Moniqo will block the archive action and let you know.

Steps

  1. Open the account and select Archive.
  2. Review the account summary and complete the “before you archive” checklist.
  3. Confirm you understand the account will become read-only.
  4. Select Archive Account.

What Happens When You Archive an Account

  • The account is hidden from active account lists and selectors (like the account picker on a new transaction).
  • It becomes read-only: it can no longer accept new or edited transactions.
  • Its existing transactions, balances, and history remain fully visible in reports and in the account’s own detail view.
  • You can filter to see archived accounts on the Accounts page at any time.

Can I Restore an Archived Account?

Yes. Archiving is not permanent. Open the archived account and select Unarchive (or Restore) to return it to your active accounts. There’s no confirmation step required: it takes effect immediately, and the account picks up exactly where it left off, with its full history intact.

Tips

  • Archiving is almost always the right choice for an account with any transaction history, since it’s safer and fully reversible, unlike deletion.
  • If you’re not sure whether you’ll need an account again, archive it rather than deleting it. You can always come back and delete it later once you’re certain.
  • Only account owners and admins on a budget can archive or restore accounts.

Common Mistakes

  • Trying to archive an account with a nonzero balance. Transfer or zero out the balance first; this is a required step, not optional.
  • Assuming archiving deletes the account’s data. It doesn’t: all transactions and balances stay exactly as they were, just read-only and out of your active list.
